How to scan a document to a computer from a printer (MFP). And then, from the scans (images), get the text
Despite the fact that in recent years the quality of photos from cameras (which are in every phone) has grown significantly, you still cannot do without a scanner (MFP). And if we are concerned with office work or study, then without him and not there, and not here.
In this article I will give you the sequential steps for connecting and configuring a scanner / printer (MFP), taking pictures (scans) from it and processing them. On the one hand, there is nothing seemingly overcomplicated in this matter, on the other hand, the truth lies in the details, and many who rarely encounter this stumble upon difficulties.
How to scan a document using an Android smartphone (receive scans in PDF format)
Press the WinR combination. in the “Run” window that appears, enter the command control printers and press Enter.
The “Devices and Printers” window will appear. in it you need to right-click on your printer and select “Start Scan” from the menu.
Note: of course the device must be switched on! Otherwise, it will not be visible in this tab.
Devices and printers. start scanning
Scanning Documents [Step by Step Guide]
We launch the Paint program (this is a drawing program, there is almost every version of Windows). To do this, press WinR, in the “Run” window, enter the command mspaint and press Enter.
Then click on the “File” menu and select the option of obtaining an image from a scanner or camera.
scanner connection, driver installation
If you already have a scanner (MFP) connected to your computer, you can skip this step.
Usually, the connection itself is not difficult: just plug the scanner / printer into the network and connect it with a USB cable to the PC (as in the diagram below).
If the LEDs on the case of the device light up, perhaps a faint rattling sound was heard. then the device began to work.
Problems most often arise with the installation and configuration of drivers. I will consider several possible cases.
1) You have a driver and scanning software on the CD
Perhaps the most favorable option. If you have such a disk, everything is installed from it, and the PC / laptop sees the scanner. most likely, you do not need my article (at least the first 2 parts of it).
2) Windows was able to automatically detect the device
If there is no CD, but when you connect the scanner to Windows, it automatically picks up and installs a driver for it. already good! (see the screen below how the window looks when the “firewood” was supplied for the connected device)
By the way, modern Windows 10 is a pretty good system in this regard. automatically finds drivers even for fairly old devices. By the way, I also recommend here utilities for auto-updating drivers.
CanoScan connected and ready to use
However, I recommend that you go to Device Manager anyway and check if there are any yellow exclamation marks (indicating problematic / missing drivers) in front of the scanner. See below about this.
Worst case scenario. So, first, open the device manager (to do this, press WinR. And in the window that opens, enter the command devmgmt.msc). See example below.
Launches the device manager. devmgmt.msc
Next, pay attention to the “Other devices” tab. “Image processing devices”. If the driver is not installed on the scanner, you should see one device with a yellow exclamation mark (as in the example below ).
Right click on it and open its properties.
Then, in the “Details” tab: in the “Properties” column, select “Equipment ID” and copy the first line of the values (see screen below ).
This line contains VID and PID (unique hardware identifiers, each equipment has its own, unique). Knowing them, you can manually find the driver for this hardware.
After that, paste the copied line into any of the search engines (Google, Yandex, etc.) and search. It will almost certainly be possible to download the required driver on the first 3-5 sites found. It remains to download / install. I omit this step.
By the way, if you are dealing with old equipment. it is possible that it will not have an auto-installer for the driver (i.e. all drivers for the scanner will simply be compressed in the archive).
In this case, you will need to unzip this archive, then reopen the device manager, find the scanner, and start the driver update (see example below ).
Next, indicate in the window that the update will be performed manually.
Search this PC (clickable)
Specify the folder where you unzipped the files and click “Next”.
Specify the folder with drivers (clickable)
Windows will think for a few seconds, and if the driver that you need was loaded, you will see a window about successful installation.
After that, in the device manager you should see the name of your scanner without any exclamation marks and red crosses (see screenshot below).
scanning a document from an MFP printer
One of the common office tasks is to scan an A4 sheet (document) into an image format (say JPG or PDF). I will give some of the simplest ways below.
choosing a program for scanning
In general, in Windows, by default, there are no programs that are designed to work with a scanner / printer (which is somewhat inconvenient. Only in Windows 10 they began to think about it.). I will consider below the most 3 common solution options.
Programs that come with the driver from the manufacturer
Almost every manufacturer of scanners, complete with drivers, produces special. applications that simplify the scanning process.
Ideally, of course, it is desirable to use these particular tools. But this is not always possible, for example, the application may not work in your version of the OS, it may not have some functions, etc.
CanoScan ToolBox / Manufacturer Application
Trial version limitations: 100 pages for recognition; software works within 30 days after installation.
One of the best scanning software. Allows you not only to receive a scan from the device, but also to recognize text, tables on it, and then save it in the desired format: PDF, Word, Html, etc.
There are automatic and manual modes of operation, file checking for errors, auto-page rotation, auto-cutting of wide book pages (etc.).
Fine Reader main window (appears when you first start the program)
Note that the program has a very well thought-out and user-friendly interface. At the first start, the entire process of scanning and working with a document is accompanied by a convenient “wizard” that will guide you through all the hardships step by step.
Note: this is perhaps the only drawback of the program. it is not free (and it costs no less than MS Office).
Windows 10 has a pretty good scanning app (and it’s completely free). To install it. go to Windows settings (Wini combination), and open the “Devices” section.
Your device should be displayed in the list of printers and scanners.
After selecting it, you should see the “Control” button. click on it.
Next, Windows will offer to get the “Scanner” application, just follow the corresponding link.
Using ControlCenter4 Software
This application is specially designed for this purpose, processing and transmission of a document via fax.
Preparing the scanner and software
Before using the scanner, connect it to the computer using the supplied or separately purchased cable. The equipment must be disconnected from the network. If the scanner has already been used on this PC, the connection is made automatically without requiring the installation of drivers. In other cases, you will need to install software. from a disk or from the Internet.
If there is no connection, make sure that you are using the correct cable. for modern models this is a USB cable, for older scanners, you may need to connect via the LPT port. If the driver installation does not start automatically, it is started manually through the “Devices and Printers” section in the “Control Panel” of Windows or similar methods for another platform.
Before you scan a photo to a computer, you should choose a suitable program:
- The simplest option for Windows, which does not require installation and configuration, is the built-in Fax and Scan utility. You can find it by using the search bar on the Start menu. The utility works with any scanner, providing a minimum of scanning options.
- Graphic editor Paint. Also installed with Windows. Not having serious functionality for editing images, the utility allows you to scan them. The required window is called from the “File” menu and is called “Import from Scanner or Camera”.
- ABBYY FineReader is a paid but multifunctional program that allows you to transfer a document or photo with the ability to recognize text in a picture in more than 150 languages.
- VueScan is a program suitable for use with most MFPs and flatbed scanners, allowing you to save photos in a variety of formats, including JPEG and TIFF.
- Branded software is ideal, and also a free option. This usually comes with the device (or there is a link to download it).
The selected program is installed (if not already installed) and launched. Then one or more photos are placed on the surface of the device with the image down and the lid is closed. If the image does not cover the entire surface of the glass, note the arrow pointing to the upper left corner. It is necessary to press the photo to it.
It is advisable to align the image so that the edges are parallel to the boundaries of the scanning area, gently wipe it from dust, clean the glass using a dry cloth or glass cleaner.
How to open a scanner on different versions of Windows
There are many free applications on the Internet that help you transfer both documents and photos. They have a ton of processing options and a user-friendly interface. Programs can be either paid or free.
Most often, applications and migration aLGorithms are the same for different versions of Windows. We will look at the example of Windows 8.
Scanning an image
Before starting scanning, it is better to use the Preview function (or similar.
It will give you an idea of exactly how the photo is positioned on the glass, and will help you scan only the part you need. Otherwise, for example, your scan will be A4 size, and the photo on it will be 1015. After the “prescan” you will get the following result.
Now you can select the fragment that you want to scan with the mouse. Do you want to digitize only a person or a specific person? No question, only select the object.
For those who do not know how to use a scanner on a computer, step-by-step instructions will help you understand the process and not make mistakes. The procedure is as follows.
First, select the basic settings.
Chromaticity. If it is a black and white photo, set the scanner mode to black and white (or grayscale). Such a scan will “weigh” less than a color one.
Resolution. For posting on the Internet, 100 dpi is enough, for printing. at least 300, for further processing or enlarging the photo, you can put much more. Remember: the higher the resolution, the more space the file takes up.
Filters / Tools. Used only if you do not plan to edit the photo further. You can, for example, correct tones or contrast.
After you have selected the fragment and set the settings, click the “Start” button.
Scanning a document from a printer to a PC
Still not sure how to scan a document from the printer to your computer? Not sure what you need to do to get a clear digital copy? This article was just created for you.

- In the search bar, enter “Faxes and Scanning”.
- We continue to work.
Option two: scan through Paint
Remember this “ancient” application that has existed since the days of the fourth Pentiums? It is still on every computer. True, in a slightly updated form, but the function of the program remains the same.
The most important thing is that this editor can not only teach you how to draw and process images, but also help you scan a document onto a computer. What scheme to act?
- Look at the Paint menu, there is a button to get a picture “from a scanner or camera”. Press it, wait until a special window opens.
- Then, you yourself can choose the parameters that are convenient for you. So, for example, you can scan a document both in color and black and white. You also adjust the quality yourself.
- Here you can also edit the image to your liking, and then save it in any convenient format on your desktop or in another folder.

How to install a scanner on Windows 10?
Connecting a new scanner is limited to standard driver connections. Most of the time, the drivers are configured by default. Problems can occur if you have an old scanning device. In this case, the notification “unrecognized hardware” appears. If the device is more than 4 years old and the software disc does not fit the version and bitness of the operating system, then you need to go to the website of the official scanner manufacturer. It is not recommended to download software from third-party resources, since files may contain malware.
- Downloading the driver.
- We connect from the device to the computer.
- We start the software installation.
- Turn on the computer restart mode.
- Checking the scanner.
If on Windows 10 the installation of the scanner by this method did not occur, then you need to troubleshoot.
How to scan to a computer through a printer
This is a fairly simple operation that can be done in a few clicks. The main condition for its successful implementation is the presence of installed drivers for the equipment.
How to add a scanner to Windows 10
The process begins, of course, with connecting a printer (MFP) to the system unit of a computer or laptop. The cord coming from the device plugs into any free USB port. In most cases, the system will automatically detect the printer model, download and install the necessary drivers for it. After that, printing and scanning by built-in tools will be available.
If the hardware is not detected automatically, you should start the process manually:
In the side menu, click on the line “Printers and scanners”.
In the case when you need to get an extended set of functions included in the specialized software, you will have to download the installation package from the manufacturer’s website. This method involves the installation of drivers, as well as related programs to help the user to print or scan documents. It is impossible to describe step by step work with each one, due to the huge number of device models. Below will be presented a general model of interaction with similar programs.
How to properly scan a document to a computer using a printer?
You can get a digital copy of a printed page or photo on a PC by scanning it. This function can be performed by a separate scanner or MFP. a multifunctional device that combines the capabilities of printing, scanning and faxing. The article below will tell you in detail how to scan a document to a computer from a printer. For this, built-in Windows tools or specialized programs are used.
Windows standard tool
You can scan directly through the built-in tools of the operating system. The method will be relevant in the case when the drivers were also installed automatically after connecting the MFP to the computer.
On Windows 10, you should use a universal scan and fax application. Instructions:
- Open the scanner cover. Place a page of text or photograph face down on the glass. Lower the lid back into place.
- Open search on the computer and start entering the request “faxes and scanning”.
The first line allows you to select the equipment through which the procedure is carried out. If there is only one printer, nothing needs to be changed.
On Windows 7, the scan window is launched from the control panel, section “Devices and Printers”. In the displayed list, you need to find and double-click on the name of the printer. Available actions will be displayed, click on the “Scan photos and documents” link. Next, a window similar to the one described in the instructions will open. It remains to select the parameters and start the process.
There is no universal instruction on how to use a scanner on a printer through specialized software. It all depends on the manufacturer, series and model of the device. So, for example, the IJ Scan Utility is used as a driver for modern MFPs from Canon. The scanning process with its help is as follows:
- Run the program using the shortcut in the Start menu or on the desktop.
- The first line allows you to select a printer.
- Next, the type of scan is set: automatic, document, photo, custom, etc.
The next window allows you to set the exact parameters: color mode, resolution, file format, save folder.
Other applications will look different from other MFP manufacturers, but the general principle will remain the same.
Let’s summarize. To successfully scan a document or photo through a printer, you need to correctly install the drivers, as well as make sure that the device is connected to the computer and is ready to work. The procedure itself is performed through the built-in Windows tools or specialized software supplied by the MFP manufacturer.
ABBYY FineReader is designed to scan a document of any resolution and quality. You should not look for special drivers for it, since it was created for Windows working tools. ABBYY FineReader is capable of recognizing about 150 languages of the world, as well as scanning handwritten texts in high resolution. Working with this application is no more difficult than with standard computer programs.
- Run the program and select the “File” tab.

- Edit settings and send for scanning.
The full-format version of the program is paid for. it is suitable for most PC users who do not often use the scanning function. ABBYY FineReader provides the function of converting document images into editing format.
How to Scan Documents from Printer to Computer: A Guide for Dummies
Scanning a photo or document is a common procedure that one has to deal with when submitting an application, duplicating copies of text files from a book, documents, etc. You can scan a text or photo at home, if the user knows how to use the scanner, and the equipment at his disposal contains all the necessary modules for this, compatible with the computer software.
These devices are called multifunctional devices (MFPs). they combine the functions of a printer and a scanner. That is, the desired image can not only be scanned from the printer, but immediately printed if necessary. On the PC or laptop itself, scanning can be done in several ways, and in some cases, you can even get by with just built-in Windows functions.
Using standard Windows tools
Most of the demanded office programs are already installed in the basic configuration in versions of Windows 7 and higher. If there is no need to make scans in high resolution, you can use this functionality.
Let’s see how to scan a document using standard Windows tools:
- Go to “Start”.
- Select the “Devices and Printers” section in the “Hardware and Sound” menu.
- In the scan settings, double-click on the name of the device that is connected to the computer.
- Click on it twice or click “Start Scan”.
- In the new window, you need to adjust the color, brightness and contrast settings manually and click “Scan”.
- Next, you need to wait until the end of the procedure.
The finished files will need to be renamed and saved to removable media or to a folder on your computer.
Before you can scan a document to your computer from the printer, you need to check the compatibility of the scanner and the version of Windows installed. The computer and the device can be connected:
- Via bluetooth.
- Via USB cable.
The first two parameters are not found in every MFP model. Therefore, it is safer to connect the device through a wire. The Windows functionality automatically finds and installs the necessary drivers for pairing the MFP and PC. If the connection is successful, the notification “Found new hardware” will appear on the screen. If the required drivers are not installed, pairing will be refused and this.
The standard connection method involves several steps:
- Placing an Image File Face Up on the Scanning Surface.
- Pressing the “Scan” button on the device and sending the image to the working screen.
- Selecting scan options and completing the process.
After scanning, it is possible to additionally save it in one of the folders on the computer. If this function is not provided automatically. for this there is a hot key combination “CTRLS”.
The standard editor included in all Windows operating systems: Paint is an easy-to-use image manipulation tool available to everyone. To get started in Paint, you need to go to the “Start” menu and carry out the following manipulations:
- Open the program and select the “File” tab.
- Find the line “From a scanner or camera”.
- The computer opens a list of ever connected devices. among them you need to select the current.
- Use the slider to adjust the image settings if necessary.
- Scan the document and the finished image will appear on the screen.
- Print title and save.
Before scanning from a computer in standard Windows programs, you need to check whether the program has started automatically. If this does not happen, then you can complete the procedure manually by opening the “Start” menu and selecting the “Fax and Scan” line.
List of additional programs
A convenient program for scanning MFP documents is “VueScan”. It not only saves images in various formats: jpeg, tiff, pdf, but also has a built-in OCR system.
- “ScanLite” and “RiDoc” are excellent programs with which you can scan and save a document in various formats.
- “WinScan2PDF” is a utility that includes a set of functions with the ability to save the file exclusively in PDF format. Its advantage is that it is free.
- Xerox Easy Printer Manager is specifically designed to work with Xerox devices and therefore cannot copy files from your HP printer. It allows you to edit and enhance the image.
The free program “CuneiForm” is designed to work with: tables, maps, fonts. and has the function of recognizing several dozen languages, which is quite enough for the average user. Each of these programs has a clear and simple interface, which can be based only on the individual preferences of the user.
