Possible Reasons for Printer Failure to Print Documents
The product does NOT print
Diagnosing the problem is difficult because there are many types of printers and many reasons a printer might work.
First, make sure the printer is connected to the network and to the Windows computer, following the manufacturer’s instructions.
Then use a printer troubleshooter that can automatically diagnose and fix the problem.
Try updating the printer driver on your computer. Printer problems are sometimes caused by an outdated driver and can be resolved by installing or reinstalling the latest driver.
To find the latest printer driver, first check for a Windows update that detects hardware connected to your computer and automatically reports new drivers.
- Open Windows Update Service.
- In the left pane, select checking for updates and wait while Windows searches for the latest updates for your computer.
- If an update is found, select Update.
- If a printer driver update is listed, it probably does exist, but the printer manufacturer has not yet submitted it to Microsoft.
Most printer manufacturers offer the latest drivers on their website in the support section. Drivers are usually ordered by Windows edition and by printer model. When the Corresponding Driver is found, install it according to the manufacturer’s instructions.

A Print Manager Problem Message Appears
A spooler is a program that temporarily stores print jobs on the computer’s hard drive or memory while the printer starts printing.
If the document takes an unusually long time to print or if you receive a Print Manager error message, we recommend that you restart Print Manager on your computer.
An easy way to restart Print Manager is to save your work and restart your computer. Alternatively, you can follow these steps.

If Windows cannot find the printer, follow these steps to find and add the printer manually.

- On the page Search for available printers select Printer is not listed.
- On the page Find printer by name or TCP / IP address select the type or location of the printer you want to use to find the printer, and then click Next.

The printer cannot be found on the network folder
To verify that network printers are displayed, check if the network is working properly. If the network works as expected, follow these steps.
Make sure all computers on the network belong to the same workgroup. One way to do this is to change the workgroup name on computers that have Windows 7 installed.
If you do not know the name and network address (network location) of the printer, contact the user who installed the printer on the network or your system administrator.
When adding a printer that is connected to a second computer on the network and shared, make sure that computer is turned on. You can also contact the computer owner to make sure the computer is connected to the network and the printer name has not changed.
Does NOT print a network printer. what to do?
Here I see two options. You really have a network printer, which is connected, for example, via Ethernet and you have a regular printing unit connected via USB, and shared access is configured for it.
Let’s take a closer look at these cases.
We look in the settings, on the printing device, which IP address is set.
On a computer that does NOT print, we check the availability of this IP.
This can be done with the command: ping [IP address].

If you have problems with the installation and operation of the printing system
Initially, you should check if the computer / laptop, printer is connected to the electrical network. When the computer is turned on and a printer is available, a message may appear that the document has not been printed.

The network device does not print. Solution to the problem
Often, users of office equipment face a problem related to the fact that the network printer is not working. To solve it, you need to consider two different cases. In the first case, you really have a network device installed and connected, for example, via Ethernet, in the second, you have a regular all-in-one printer, which is connected via a USB cable and for it, in turn, the sharing settings are made.
First case: network printer
If your device is connected to a public network, but at the same time, when you try to send certain documents for printing, an error constantly appears on the screen, then first of all you need to look in the settings of the printing device its current IP address. In the next step, you should check the availability of this network address on the PC from which the printing process is NOT running. For this purpose, press the WinR key combination, then enter “CMD” in the open windows titled “Run the program”. Press the enter key. In the black command line that appears, you need to enter “ping” followed by a space for the device’s IP addresses, then press “Enter”. In the event that your ping is progressing, then continue with the configuration and proceed to the next steps described below. Otherwise, check the condition of the patch cord with which the device and PC are connected to the network. But best of all, to make printing work again, create a new patch cord.
Check the settings of the office equipment that is connected to your PC, if your ping continues to “go”.
- For this purpose, open the section with devices and printers.
- Find the icon and name of your device and right-click on it to open its menu. Among the drop-down list, click on “Printer properties” (in the English OS version “Printer properties”).
- Click on the ports tab and select “Add port”.

- If such actions did not help and the problem related to the fact that the network printer does NOT print is still NOT resolved, then check the availability of the PC to which the printing device is connected from the computer on which you want to print certain documents. You can do this by typing “ping” into the command term. a similar action was described in the first section of this article.
- In the next step, check the device’s sharing settings. To do this, open its properties and open the access tab. Find there an item called “Sharing” and check the box next to it, then set a network name. you can choose any, most importantly, so that later everyone would understand which device it is. To save the changes made, click on “OK”.

What to do if the printer is connected, but says that it is NOT connected
The problem when the printer says “not connected“, although it is connected, may arise when a different way of connecting with a computer or laptop. The reasons for this situation are simple, everyone can fix it.
If the error is written very rarely or even occurred for the first time, then a banal failure of the printing device is possible. Just turn off and on the appliances, check the work.
Pay attention to the indicators on the printer body. Or flashing buttons. In case of non-standard behavior of light indication, for example, blinking of buttons yellow or red, which previously “behaved calmly”, you need to look in the documentation for information about the device. A rare, but also probable prerequisite for an unconnected printer is the ingress of foreign objects into the machine. Open all the roofs of the machine. If necessary, shine a flashlight in distant and deep places. If foreign bodies are found, remove by hand or with tweezers (in hard-to-reach places). Remove any jammed paper or paper debris if present. Small metal objects (paper clips, pins, needles, etc.) sometimes lead to short circuits of the components, due to which the printer does not turn on at all.
Check the physical connection
If the printer is working, the power button has turned on the machine, connected to the mains, then there are problems with the cable and power supply. This means that the signal can be lost further. in the cable connecting the printer with a laptop or desktop computer.
There are two options for diagnosing the problem:
- If you have experience in electronics, take a measuring device and ring the cord. If there is no signal in one of the wires, then it is recommended to replace the cord with a new one, although you can also repair it yourself.
- Connect another similar cord. Printer works. old cable can be thrown away.
Always connect the equipment only through the rear panel of the computer. Most computers are equipped with a front panel with the necessary inputs to quickly connect the necessary peripherals. But the panel is not always physically connected to the motherboard, because of which the connectors may NOT work. Connect the printing device to the connectors on the main panel on the back of the case and try to put it into operation.
Connect to second computer
It happens that the USB connectors of the computer, for some unknown reason, stop recognizing the connected equipment or turn off altogether. Among the reasons, one can single out a failure in the software (drivers for the USB controller) or hardware malfunctions, in which you need to contact the service center. In the first case, it is recommended to update the driver for the controllers. Go to the properties of the computer, then follow the link to the “Device Manager”.
To exclude or confirm the problem in the PC, use another computer / laptop to work with the printing device. If it still writes “the device is not connected”, then the reason is different. The status of the printer has changed and printing has become possible. look for the cause in the settings of the computer operating system (see points below).
Make your default printer
“By default” means that the printer will become the main one and will always be involved in work when sending any print job, even if a local network is created and other devices are connected.
Go to Devices and Printers. To do this, press the key combination “WindowsR” and enter the command “Control Printers”.
A window with a list of connected devices will open. Find the printer you want. If the device is already set by default, then the icon will have a green check mark. Otherwise, right-click on the icon and select the “Use as default” option.
If you need to define another device as the master, do the same.
If multiple printers are added and connected, then Windows 10, when the system reboots or updates, may choose to set another one as the main one. To disable this behavior of the operating system, you must uncheck the setting in the parameters (see screenshot below). In the parameters of printers and scanners go like this: “Start-Settings (gear icon).devices”.
Offline mode enabled
Right click on the printer and select “View print queue”.
In the window that opens, if no files were previously sent to print and the saving of documents for viewing history was NOT configured, it should be empty. If there are any records, it is likely that the queue is frozen and you need to clean up to make it possible to start printing in the future. Select “Clear Print Queue” from the “Printer” menu and make sure that “Work Offline” and “Pause Printing” are not active.
Check print service is working
For printing in Windows, the Print Manager service is responsible. After installation, Windows is functional and starts automatically when the computer boots. But sometimes the service may be recommended to be disabled in order to speed up the computer and when you do not need to print anything. If you understand that the service will be turned off by you, you need to turn it back on. It will be useful to check the operation of the service for everyone whose device does not connect or does not print after.
Start the “Run” (WinR) window, write the command “services.Msc”. Find “Print Manager”. The status is written near the service. Make sure it says “Running” and “Automatically”.

Understanding the drivers
Drivers are a common program required for the operation of one or another equipment connected or already built into the computer. Viruses are dangerous for any program.

We go to the “Print Server”, making a quick start from the “Run”. Press Windows and R at the same time, then execute the “printui / s” command. On the “Drivers” tab, select the printer model from the list and click “Delete”.

When the CD is included, then the driver must be downloaded from the manufacturer’s official website. The second way to add a printer in Windows is manual installation with a driver selection in the system base.
In the event that Windows components and installed hardware fail, the system provides a standard troubleshooting tool. Click on the printer with RMB, in the menu click on “Troubleshoot”. Then, following the step-by-step instructions, diagnose and fix the problems found.
And if the printer is network
The network machine usually operates through a host computer. That is, there is a computer that is initially configured to work together with the printer. Then shared access to this computer and printing equipment is made. Then other computers are connected in one of several ways, for example, through a network cable (patch cord).
If the problem is not on the main PC, then the last one should be checked. Proceed according to the above algorithm. Be sure to check that all computers have the same workgroup name in the system properties. The computer name must be unique for each.

- As with a single connection, the network connection may be interrupted due to damage to the patch cord or wall outlet.
